Creating Sessions

Creating a one-off session

  1. Go to Scheduler in the left navigation
  2. Click + New (top right) or click directly on a time slot in the calendar
  3. Fill in the session details:

TitleName of the session (e.g. "Maths - Year 10")
Start / EndDate and time
ClientsOne or more clients to link to this session
StaffAssigned tutor or instructor (optional)
StatusStarting status (defaults to your first workflow status)
NotesInternal notes (not visible to clients)
FeeSession fee - used when generating invoices from sessions
  1. Click Save

Linking clients

You can link one or more clients to a session. Linked clients:

  • Receive session reminder emails (if configured in your workflow)
  • Appear on the session page
  • Are included in invoice generation from sessions

Assigning staff

Assigning a staff member to a session:

  • Makes the session appear in their staff portal schedule
  • Enables availability conflict detection on booking requests
  • Allows payroll calculation for that session

Setting a fee

The session fee is used when generating invoices from sessions. It can be:

  • Fixed - a flat amount per session
  • Hourly - calculated from the session duration and an hourly rate
