Team Overview
FoxCLM supports two distinct models for bringing people onto your team: Staff and Collaborators. They solve different problems.
Staff vs. Collaborators
| Staff | Collaborators | |
|---|---|---|
| Who they are | Workers, tutors, contractors you pay | Business partners, assistants, co-owners |
| Access level | Staff portal only (own schedule + payroll) | Full workspace access |
| Permission model | Fixed (view own assignments) | Per-resource: view / moderator / admin |
| Payroll | Yes - hourly, per-session, commission | No |
| Assigned to sessions | Yes | Not directly (but can manage sessions) |
| Workspace visibility | Limited (own schedule only) | Full (or limited by permission levels) |
| Login | Staff portal at separate URL | Normal login, switch workspace |
Use Staff when you want to give workers access to their own schedule and payroll but nothing else. Use Collaborators when you want to share workspace management with a trusted partner or assistant.
The same person can be both - a collaborator who also has staff payroll.
Managing your team
The Team page (in the sidebar) has three tabs:
- Team - collaborators and staff list
- Availability Submissions - review staff weekly availability
- Event Requests - review staff-submitted cancel and reschedule requests
Common flows
"I want a co-founder to help run the business"
Invite them as a collaborator with admin permission on all resources. They'll see everything you see and can act on your behalf.
"I want to hire tutors who should only see their own classes"
Add them as staff. Configure their payroll rate. Send them a portal invite. They'll log in to the staff portal and see only their assigned sessions.
"I want an accountant who can view invoices but not edit clients"
Invite as a collaborator with admin on Invoices and view on Clients. Leave other resources off.
"I want staff who can also reschedule their own sessions"
Add them as staff and enable the Event Requests workflow. Staff submit a reschedule request; you approve it; FoxCLM notifies affected clients automatically.
