Clients Overview
Clients are the people your business serves - students, patients, customers, members. Everything you do in FoxCLM revolves around them: sessions are booked for clients, invoices are billed to clients, and clients can view their own schedule and invoices through a public share link.
What a client record holds
Each client has a standard set of fields plus any custom fields you define:
Built-in fields:
- First and last name (required)
- Email and phone
- Age
- Photo (JPG or PNG, max 2 MB)
- Colour - a visual tag used throughout the UI to help identify the client at a glance
- Status - e.g. Lead, Active, Inactive, Churned (you can edit the list)
- Newsletter opt-in flag
- Address(es) - linked separately, supports multiple per client

What you can do with clients

| Add a client | Click "+ New Client" on the Clients page |
| Edit | Click a client row to open the edit modal |
| Delete | Soft delete from the edit modal. Deleted clients are hidden by default but recoverable |
| Restore | Toggle "Show deleted" on the Clients page, then click restore |
| Search | The search bar on the Clients page searches name, email, phone, and status |
| Link to a session | Add the client when creating or editing a session |
| Link to an invoice | Add the client when creating or editing an invoice |
| Share schedule | Generate a public link so the client can see their own sessions |
| Share an invoice | Generate a public link so the client can view and pay the invoice |
Clients and sessions
A session can have one or many clients. When you schedule a session, pick which clients attend. That link is used for:
- Populating line items on invoices (when you add "session" line items)
- Sending reminder emails to the right people
- Showing attendees on the client-facing session page
- Tracking who attended for payroll and reporting
Clients and invoices
An invoice can be billed to one or many clients. Adding a client to an invoice:
- Makes the client's email the target for "Send invoice" emails
- Shows the client's name and address on the rendered invoice (subject to designer settings)
- Lets you clone "all sessions for this client in date range" into line items
Clients and statuses
Client status is part of the workflow system. A common lifecycle:
Lead -> Active -> Inactive -> Churned
You can change the list and build automated transitions. For example: when a client stays Active for 90 days with no new session, auto-move them to Inactive and fire a re-engagement email. See Workflows & Statuses.
