Invoice Templates
Templates let you save a designed invoice layout and apply it to any new invoice. A template captures the visual design, field placement, default line items, and styling - but leaves the data (client, amounts, dates) to be filled in per invoice.
Built-in templates
FoxCLM ships with four starter templates:
- Classic - professional dark header with blue accents
- Modern Minimal - clean, light design with subtle typography
- Bold Color - gradient purple header with a modern feel
- Compact Serif - compact serif layout, great for printing
You can use these as-is or clone them as the starting point for your own template.
Saving a template
- Open any invoice and go to the designer.
- Arrange fields, styles, and content the way you want.
- Click Save as Template.
- Enter a template name and description.
- Save.
The template now appears in the template picker for all future invoices.
Applying a template to a new invoice
- Click + New Invoice.
- Click Choose Template at the top of the editor.
- Pick from the template list.
- The invoice inherits the template's layout, default line items, notes, and styling.
Applying a template to an existing invoice
- Open the invoice.
- In the designer, click Load Template.
- Pick a template.
- Confirm - this overwrites the current layout but preserves data fields.
Template management
Go to Settings -> Invoice Templates to see all templates. From here you can:
- Preview a template
- Edit its design
- Duplicate it
- Delete it (cannot be undone)
- Set one as the default for new invoices
What templates store
A template stores:
- Full layout design (field positions, sizes, styles)
- Default notes and terms & conditions text
- Default line item list (e.g. a fixed set of services)
- Custom field defaults (if any)
- Currency preference
A template does not store:
- Client selections
- Specific line item amounts or dates
- Invoice number (always auto-generated per invoice)
- Workflow status (always starts at
Draft)
Tips
- Create one template per common billing scenario. If you bill differently for one-off sessions vs. monthly retainers, have two templates.
- Use the AI restyle on your current best-looking invoice, then save the result as a template.
- Share templates across the workspace. Templates are per-workspace, so any admin or moderator can use templates you've created.
