Sessions and events
A session (or class, or event) is the core unit of scheduling. Each session has a start and end time, one or more linked clients, an optional staff assignment, and a status.
Sessions can be one-off or recurring (daily, weekly, monthly, or custom patterns).
Statuses and workflows
Every session, invoice, and client has a status - a label like "Scheduled", "Completed", or "Cancelled". You define your own statuses and arrange them into a workflow with transitions between them.
Transitions can fire automatically (on a schedule) or manually (by clicking a button). Each transition can have conditions (e.g. "only if amount > 0") and actions (e.g. "send an email", "create an invoice").
See Workflows & Statuses for the full reference.
Clients
A client is a person or household that receives tutoring. Clients are linked to sessions and invoices. You can add unlimited custom fields to capture any information specific to your business.
Staff vs. Collaborators
| Staff | Collaborators | |
|---|---|---|
| Who they are | Tutors or instructors you employ | Business partners or assistants |
| Access | Staff portal (own schedule + payroll only) | Full workspace access (with permission limits) |
| Permission model | Set by owner | view / moderator / admin per resource |
| Payroll | Yes - hourly, per-session, or commission | No |
Booking requests
A booking request is an inbound session request from a prospective client via a public booking page. You review and approve or reject requests; approved requests create a session automatically.
