Collaborators
Collaborators are people who help you run the business: co-owners, business partners, assistants, accountants. Each collaborator logs in with their own account and switches into your workspace.
Permissions
A collaborator who accepts becomes a workspace member. What they can do is controlled under Settings -> Permissions & Actions, which has two tabs:
- Staff permissions - a per-member matrix of fine-grained action capabilities, grouped by domain:
- Contracts - create, edit, delete, submit, review, approve, sign
- Invoices - create, edit, delete, submit, approve, send
- Expenses - create, edit, delete, submit, approve
- Calendar - delete, import, export
- Roles - reusable named bundles of those capabilities that you assign to a member instead of ticking each flag by hand.
Permissions are per-action, not a single view / moderator / admin level, and they are set here - not on the invite form.
Invite a collaborator
- Go to Team -> + Add Collaborator.
- Enter their email.
- Optionally pre-fill their member name and payroll rates.
- Click Send Invitation.
Capabilities are assigned after they join, under Settings -> Permissions & Actions.
If they have a FoxCLM account
They get an in-app invitation under Invitations for you, where they Accept or Decline. On acceptance they join your workspace as a member.
If they don't have an account
FoxCLM emails a claim link valid for 7 days. They click the link, create an account, and the connection activates.
Switching workspaces
When a collaborator logs in, they see a workspace switcher in the header. They can switch between:
- Their own workspace (where they are the owner)
- Any workspace they have been accepted into
The UI shows which workspace is active. All actions apply to that workspace.
Changing permissions
Adjust a member's capabilities any time under Settings -> Permissions & Actions - tick or untick action flags on the Staff permissions tab, or assign a Role. Changes apply the next time the member makes a request.
Asymmetric permissions
Membership is one-way. If Alice invites Bob into her workspace, Bob can act there within the capabilities Alice grants. That does not give Alice any access to Bob's own workspace - Bob would have to invite Alice separately. Two-way partnerships must be set up in both directions.
Revoking access
- Remove the member - severs the connection entirely; they can no longer switch into your workspace.
- Narrow their capabilities under Settings -> Permissions & Actions - a partial revoke without removing them.
Both take effect immediately. In-progress requests at the moment of change succeed; new requests are evaluated against the updated permissions.
What collaborators see
A collaborator with workspace access sees the same UI as the owner, but:
- Actions they lack the capability for are hidden or disabled (permission-gated buttons)
- The workspace owner's Business Profile, Subscription, and owner-only settings are invisible
Collaborators + staff payroll
A collaborator can also be a paid staff member. Enable payroll on their member row to set rates and treat them as both collaborator and staff. See Staff Members for payroll details.
